The Lutheran World Federation (LWF) has been working in Jordan since 2012, assisting Syrian refugees in the Za’atari camp and in Jordanian host communities. Given the massive influx of Syrian refugees, and in the interest of promoting social cohesion, vulnerable Jordanian families have been targeted for assistance as well. Support to Syrian refugees and vulnerable Jordanians in urban and peri-urban host communities focuses on the populous areas of Northern Jordan, in particular Amman, Zarqa, Mafraq and Irbid governorates. Thematically, LWF Jordan works in the sectors of education, protection and livelihood, with gender justice and child protection being mainstreamed in all projects and activities.

Scope of Work

Under the overall supervision of the Support Service Manager/ Support Service senior officer, the HR Officer will play a pivotal role in managing various HR functions, including but not limited to recruitment and onboarding processes, maintaining employee records, administering HR policies, handling employee relations, facilitating training programs, and ensuring compliance with labor laws and regulations. Additionally, The HR officer will collaborate across departments to support organizational development and foster a positive work culture, emphasizing employee engagement and well-being.

The position will have a regular interaction with LWF Country Director, Program Coordinator, and Finance Manager, in addition to technical relations with the HR manager at LWF Geneva office

Roles & Responsibilities:

Human Resources

Recruitment and Onboarding:

  • Responsible on posting job ads both internally & through recruitment channel/s, follow the recruitment process as but not limited (reviewing resumes, phone screening interviews, sending long list, schedule & arrange the interviews, checking references, send regret emails , or job offer and preparing the new employee’s paper…etc).
  • Complete the Recruitment files and process frequently and ensure they are ready for audit.
  • Assist in new hired orientation; Ensure that new employees are fully inducted into the organization utilizing induction materials and policies.

Employee Records and Documentation:

  • Maintain and update employee records, ensuring accuracy and compliance with relevant policies, laws and regulations. (Both Hardcopy and on the HR system)

  • Assist in the preparation and distribution of HR-related documents, such as contracts, offer letters, and policies.

  • Ensures the employee files are complete in accordance with the LWF standards.

  • Is responsible for the archiving or destroying of HR documents according to archiving rules.

  • Is responsible for filing other documents regarding the life cycle of an employee, including warning letters, End of service, and Social Security, Insurance documents.

  • Follow up & Monitor staff attendance time sheet and leaves registration on the HR system; ensures timely and accurate allocation completion of timesheets.

    Performance Management & Development:

  • To be able to guide staff on general inquiries related to Performance Management & Development process

  • Get well acquainted with the LWF Tools and templates and modules
    Benefits and Compensation:

  • Support in administering employee Compensation & Benefits related matters.

  • Assist in the preparation of payroll and maintain accurate records of attendance and leaves.

  • Follow up on the health enrollment forms, add, request and/ or cancel employees.

  • Act as the focal point to discuss any medical related matters with the health insurance provider.

  • Assist with the Social Security monthly designation and end of service.
    HR Policies and Compliance:

  • Assist in the development, communication, and enforcement of HR policies and procedures.

  • Advice SSM of any observed miss- use of LWF policies and/or regulation and recommend initiatives or best practice that would add value either for the organization and/or the HR component.

  • promote PSEA (Prevention of Sexual Exploitation and Abuse) standards & principles within LWF and amongst beneficiaries served by LWF

  • Ensure adherence and compliance with LWF policies, support function tools, handbooks and guidelines.
    HR Reporting and Data Analysis:

  • Compile and maintain HR metrics and reports, providing insights and recommendations to the CD and the SSM

  • Responsible for uploading relevant data to the HR System and SharePoint.

  • Generate HR reports per the line manager’s instruction.
    Other Administrative Tasks:

  • Provide both HR-specific and general administrative and secretarial support; answer department telephones, relay messages and distribute information to employees.

  • Organizing the hosting meetings, training, events, and social activity by the LWF Jordan office and/or programs

  • Type required official correspondence when required.

  • Assist in translating documents from Arabic to English and vice versa.

  • Overseeing the process of filling, both paper and electronic, related to all incoming and outgoing official correspondences.

  • Check the LWF mailbox and distribute the receivable accordingly.

  • Supervise office cleaning.

  • In charge of Holidays / Absences, overtime, and ID card procession.

Others

  • Carry out any other duties as requested by the LWF Jordan SSM.

Professional Standards

The LWF and LWF workers must adhere to the values and principles outlined in the Code of Conduct as well as the Core Humanitarian Standard and relevant LWF policies such as Protection from Sexual Abuse, Exploitation and Harassment (PSEAH), Child Protection and Gender Justice Policy. The staff member must conduct himself/herself both professionally and personally in such a manner as to bring credit to the LWF and to not jeopardize its humanitarian mission.

Requirements:

  • A minimum of a BA management, MIS or any related field.
  • Minimum of two to three years’ experience as HR & Admin (previous experience in humanitarian sector is preferred)
  • Proven computer literacy, including good knowledge of MS Office.
  • Good English language skills (Verbal & Written).
  • Experience of implementing new policies and procedures

Our Ideal Candidate:
The candidate must hold a bachelor’s degree or equivalent, with a minimum of 2-3 years of experience in a similar field, preferably in a humanitarian context.

We are particularly looking for a positive individual with strong communication and interpersonal skills, who can build trust and confidently navigate both internally and externally at different levels, to have the ability to analyze data and trends for informed decisions, must be details oriented, well organized and planned to handle multiple tasks. the candidate should have good knowledge of English, written and spoken.
